Payment & Reservations

• A non-refundable deposit is required to reserve your event date. Deposit amounts vary depending on the package selected.

• The remaining balance must be paid 24–48 hours before your scheduled event. If the final payment is not received by the due date, your booking may be canceled, and your deposit will be forfeited.

• Bookings are not confirmed until payment has been received.

• All reservations are accepted on a first-come, first-served basis.

No Refund Policy

• All payments made to The Picnic Loft are non-refundable.

• Once a booking is confirmed, refunds will not be issued for cancellations, no-shows, schedule conflicts, change of plans, or failure to obtain required permits.

• By booking with The Picnic Loft, clients acknowledge and agree to this no-refund policy.

Weather & Rescheduling

• In the event of severe weather or unsafe conditions, outdoor events may be rescheduled based on availability.

• Rescheduling requests must be made as soon as possible and are subject to approval.

• Rescheduled events do not qualify for a refund.

Event Location Requirements

• Clients must provide the exact event address at the time of booking.

• If the event is being held at a public park, the required permit must be obtained and provided before setup.

• Clients are responsible for obtaining any required park permits, venue approvals, parking fees, shelter reservations, or location-specific fees.

• The Picnic Loft reserves the right to refuse setup at any location that does not meet permit requirements or venue regulations.

Food & Beverages

• The Picnic Loft is a luxury picnic styling and event setup company.

• Food and beverages are not provided and are not included.

• Clients are welcome to bring their own food and beverages in accordance with venue rules and local regulations.

Travel Fees

• Travel within Charlotte, NC is included for most standard setups.

• Larger setups, specialty installations, and events outside of Charlotte may be subject to an additional travel and delivery fee.

• Travel fees will be discussed and approved prior to booking confirmation.

Setup & Breakdown

• All packages include setup and breakdown unless otherwise noted.

• Clients are responsible for ensuring access to the event location at the scheduled setup time.

• Delays caused by lack of access to the event location may result in reduced event time.

Globe Tent Policy

• Globe tent experiences are available only at private residences, private venues, Airbnb properties, hotel locations (where permitted), and other approved private properties.

• Globe tents are not available in public parks.

• The Globe Tent is not recommended during periods of extreme heat, high humidity, or severe weather conditions.

Hotel Room Styling Policy

• Clients are responsible for confirming that their hotel allows room decorations and styling services.

• The Picnic Loft uses non-damaging decorating methods whenever possible; however, the client remains responsible for complying with all hotel policies and requirements.

Customizations

• Limited customization is available for most packages.

• Extensive custom themes, specialty décor, specialty rentals, floral upgrades, or special requests may require additional fees and advance notice.

Photography & Social Media

• The Picnic Loft may photograph event setups for marketing and social media purposes.

• Client privacy is respected, and personal photos of guests will not be shared without permission whenever possible.

Agreement

By booking with The Picnic Loft, clients acknowledge that they have read, understood, and agreed to all booking policies, terms, and conditions listed above.
